Manufacturing & Trading
Industry Automation

Hong Kong traders and factories rarely lose money on a shortage of orders. They lose it on slow quotes, dropped follow-ups, and margins eaten by exchange rates and shipping schedules.
We automate quoting, samples, factory communication, shipping and reconciliation for Hong Kong manufacturers, traders and buyers — from WhatsApp through to an ERP dashboard, without hiring another merchandiser.

MANUFACTURING & TRADING

Hong Kong reality: why a Manufacturing & Trading business loses money

These four are what we see most often in Hong Kong companies like yours. Not theory — money leaving the business every month.

✕Quotes built by hand in Excel

When a buyer asks for a price, staff dig through old orders, check FX and work out freight by hand, and the buyer places the order elsewhere first.

A quote that is one day late can lose a six-figure order.
✕Samples and bulk orders scattered across WhatsApp

Sample approvals, spec changes and photo checks with mainland factories happen across endless chat threads, and nobody remembers what changed.

A wrong sample or the wrong colour or size means rework, and you wear the cost and the delay.
✕Nobody is watching the exchange rate

Months pass between placing an order and shipping, and a move in RMB or USD can wipe out the margin.

On a HK$1m order, a 3% FX move is HK$30k of margin gone.
✕Shipping, customs and inspections slip

Vessel schedules, cut-off dates, customs paperwork and buyer inspections are all chased by email, and one missing document means cargo sits in the warehouse.

Miss a cut-off by a day and rebooking plus storage can easily run past HK$10k.

Pain by pain, here is what we do

✕ Slow quotes
Automated quoting: enter the spec, quantity and price list, and the system calculates cost with live FX and freight and produces a PDF quote in one click. Workflow Digitalisation →
✕ Factory communication
A shared inbox organises sample, bulk-order and spec-change threads with factories, with every version and photo logged so nobody works from a different story. WhatsApp Team Collaboration →
✕ FX exposure
A daily FX briefing is pushed to WhatsApp with alerts when rates hit your targets, so you check the numbers before you commit to a price. Big Data Analytics & Forecasting →
✕ Shipping and inspections
Vessel schedules, cut-off dates and inspection slots sit on one dashboard with automatic reminders and clear ownership, so paperwork gaps are visible early. WhatsApp Automation →

What your day looks like once it is automated

08:30
The day opens with an FX briefing; RMB and USD are flagged the moment they hit your targets, before any quote goes out.
10:00
A buyer asks for pricing on WhatsApp, the system pulls the price list and stock, and a colleague issues a formal quote in one click.
15:00
A mainland factory sends sample photos; they are filed against the spec and any change notifies the right colleagues and buyer automatically.
18:00
Which orders hit cut-off today and which batches need inspection is laid out on the dashboard — no email chasing.

What this industry usually uses

You do not need all of it at once — most clients start with the single most painful item.

The change businesses typically see

These are typical ranges. Real numbers depend on your volume, order value and current process — we will quote you actual figures.

3x faster

Move from hand-built quotes to one-click generation and cut quoting time sharply.

1–3% protected

Watching FX and quote costs reduces the margin lost to exchange-rate swings.

Fewer misses

Automatic shipping, cut-off and inspection reminders reduce storage and rebooking charges.

Hong Kong reality: how a Manufacturing & Trading business brings profit back

The four items below show how profit that was leaking away flows back into your business once the work is automated. Not a theory, but a result you can check against your own figures.

✓Quotations go out sooner

Quotes are generated from cost and exchange rate parameters, cutting turnaround from days to hours.

Quotes that arrive first convert noticeably better.
✓Repeat orders

Each client's purchasing cycle and usual specifications are recorded, and follow-up happens before their regular order date.

Orders come back every year, easing the pressure to find new buyers.
✓Shipping cost control

Order progress, production dates and vessel schedules sit together, so slippage raises a flag at once.

Detention and schedule-change penalties are avoided, protecting the margin directly.
✓Margin protection against FX

Live exchange rates trigger quotation adjustments, and every cost movement is logged per order.

The margin lost to currency swings narrows.

Manufacturing & Trading — frequently asked questions

We already use an ERP — can it connect?
In most cases, yes. We typically run alongside your ERP, integrate with it, or read and write data to it. If your ERP is too closed to connect, I will say so plainly and we will look at options together.
Our mainland factories are not tech-savvy. Does that matter?
That is exactly why we start with WhatsApp. Factories keep sending messages and photos on WhatsApp while the system organises them behind the scenes — there is no new software for them to learn.
How accurate is your FX forecasting?
We will not tell you tomorrow's rate; nobody can. What we do is put live and historical FX, costs and quotes side by side so you have numbers in front of you before you commit.
Do we have to abandon our Excel process?
Not all at once. Start with the single most painful step, such as quoting or reconciliation, get it running, then move the rest gradually. Most clients migrate step by step.
